Volunteer-hours ledger for team and booster parents

Tracks which families owe volunteer shifts or buyout fees and nudges them, so the same five parents stop doing everything.

The problem

Team parents say the first weeks go fine, then by mid-season the same handful of parents cover every snack, concession and scorekeeping slot and everyone else stops checking. One self-described team mom called herself the 'Nag-in-Chief' and said her spreadsheet turned into an unpaid second job. Sign-up sheet tools list open slots but don't show which families are behind on their share.

Who has it: Team parents, booster club treasurers and PTA volunteer chairs for youth teams, bands and clubs with 15-80 families.

Who pays

The booster club or team fund pays. It pays to spread work fairly and collect buyout fees without awkward chasing. · $8-15/month per team, or $60-120/year per club

Free for one team and up to 20 families, then $8-15/month per team or an annual club plan. Reach first users through booster-club Facebook groups and by messaging team parents in local league forums at the start of a season.

What to build first

  • Set a required number of volunteer hours or shifts per family, plus an optional buyout fee
  • Shift sign-up links that families claim without making an account
  • Per-family balance: hours done, owed, and projected shortfall
  • Automatic reminder emails to families who are behind, with a quiet 'thank you' list for those who are done
  • Stripe link to pay the buyout fee, with the ledger updating automatically
  • Season report for the board

Suggested stack

Next.js Supabase Stripe Resend Tailwind

Starter prompt

Paste it into Cursor, Claude Code, Lovable or Bolt and iterate from there.

Build a web app called FairShare for youth-team and booster-club volunteer coordinators. Stack: Next.js, Supabase (auth + Postgres), Stripe Checkout, Resend, Tailwind. Model: orgs, families (name, email), events (date, title), shifts (event, role, hours, capacity), signups (shift, family, status done/no-show), requirements (org, hours_required per family, buyout_fee). Features: admin imports families via CSV; creates events with shifts; shares one public link where a family picks its name from a dropdown and claims a shift (no account); admin marks done or no-show after the event. Family ledger page shows hours done, owed, and projected shortfall. Weekly cron emails families that are behind with a link to claim shifts or pay the buyout via Stripe Checkout; a webhook converts a paid buyout into credited hours. Add a dashboard of top and bottom contributors and a CSV season report. Keep the UI mobile-first and simple.

What could go wrong

SignUpGenius, TimeToSignUp and SignUpReady already own the 'free sign-up sheet' space, so this only works as a fairness and fee layer. Many clubs may never track obligations per family at all.

Where we found it

  • SignUpGenius youth sports blog — Says recruiting week by week leaves the same five parents covering everything by mid-season, and coordinators personally chase each family.
  • Confessions of a Tired Team Mom — A team mom describes her snack spreadsheet as an unpaid second job, with constant 'when am I supposed to bring snacks?' messages. This is vendor content but matches the workflow.
